CareChord is a family care responsibility coordination tool. This policy explains how we collect, use, share, retain, and protect personal information when providing the CareChord mobile application and related services, and how you can manage that information.

1. Scope

This policy applies to the CareChord mobile application, backend services accessed by the application, and related account authentication, family care circle collaboration, notification, and customer support features.

Third-party websites opened through CareChord and services independently provided by third parties are governed by their own privacy practices. We recommend reviewing those practices before using them.

2. Information We Collect

2.1 Account and authentication information

  • Your email address, used for sign-in, invitations, and communication;
  • One-time verification codes, the validation status of six-digit invitation codes, login sessions, and security status;
  • Your selected app language, notification preferences, and other account settings.

2.2 Family care circle and member information

  • Care circle name, member relationships, coordinator or caregiver roles, and invitation and removal records;
  • Member access to care recipients and related resources.

2.3 Care recipient and care information

  • A care recipient's name, relationship, date of birth, basic information, and care instructions;
  • Medication name, dosage, and frequency, and contact type, name, and phone number that you choose to enter;
  • Care arrangement title, location, start time, estimated duration, assignee, and status;
  • Completion, postponement, cancellation, and reassignment activity, and completion result notes;
  • Images or files you choose to upload as attachments.

2.4 Device and operational information

  • Device identifiers needed for push notifications, app version, and notification delivery status;
  • Request times, basic network and device technical information, security events, errors, and operational logs.

We do not sell personal information or care information for advertising, and we do not use care data for targeted advertising.

3. How We Use Information

We use information as necessary to provide the service, primarily to:

  • Create and maintain accounts and verify email addresses, invitation codes, and login sessions;
  • Create family care circles and manage member roles and access;
  • Display care recipients, arrangements, assignments, completion records, and weekly schedules;
  • Send necessary notifications to relevant assignees and coordinators when care is created or changes;
  • Maintain traceable care history and process cancellations, reassignments, and handoffs;
  • Provide customer support, troubleshoot problems, and prevent fraud, abuse, and unauthorized access;
  • Comply with applicable law and protect users, care recipients, and the service.

4. How Information Is Shared

4.1 Authorized family care circle members

Family collaboration is central to CareChord. Care recipient information, arrangements, assignments, and care records are shown to authorized members of the same family care circle according to role, recipient scope, and resource permissions. Invite only people you trust.

4.2 Service providers

We may use providers of cloud hosting, private file storage, email delivery, push notifications, and security operations to process information necessary to run CareChord. We require them to process data only under our instructions and for agreed purposes, with appropriate confidentiality and security safeguards.

4.3 Legal, safety, and business changes

We may disclose information where required by law or legal process, or as necessary to protect users, care recipients, the public, or CareChord's rights and safety. If a merger, reorganization, or asset transfer occurs, we will require the recipient to continue handling information under this policy or protections no less stringent, and will provide notice where applicable.

5. Device Permissions and Notifications

  • Notifications: Used for assignments, changes, cancellations, completions, and care circle activity. Notifications should contain only the minimum necessary information, and access is checked again in the app when details are opened. You can adjust notifications in system settings or CareChord settings.
  • Photos and files: Access occurs only when you actively select a completion attachment. Uploaded attachments are held in protected private storage and accessed through identity and authorization checks.

Declining an optional permission will not affect unrelated features, but the corresponding feature may be unavailable.

6. Retention and Deletion

We retain information for as long as needed to provide the service, maintain accounts and family care circles, protect security, and meet legal obligations. Retention periods vary based on purpose, sensitivity, legal requirements, and dispute-resolution needs.

You may request account deletion in the app. After deletion, you will lose access to your account and family care circles, and the action cannot be undone. We delete or de-identify personal information directly associated with you. Shared care history may be retained after removing direct identifiers where needed to preserve care facts relied on by other authorized members, audit or security records, or legal obligations.

Residual backup copies are removed through normal rotation. Information legally required to be retained is isolated and used only for that purpose.

7. Your Choices and Rights

Subject to applicable law, you may:

  • Review, correct, or supplement your account and care information;
  • Manage care circle members, language, notifications, and device permissions;
  • Request access to, correction, copying, export, or deletion of your personal information;
  • Withdraw consent-based processing or request restriction of or object to certain processing;
  • Delete your account in the app.

Some requests may be limited by the lawful rights of others, the integrity of shared care records, or legal obligations. We may verify your identity before processing a request.

8. Security

We use safeguards appropriate to risk, including encryption in transit, authenticated APIs, session revocation, role- and recipient-based authorization, private attachment storage, access controls, audit records, and security monitoring.

No transmission or storage method is completely secure. Protect your device, email, verification codes, and invitation codes. If you detect suspicious activity, stop sharing the relevant credentials and contact us through the app.

9. Children and Information About Others

Account holders must meet the minimum age and legal-capacity requirements where they live. If a care recipient is a child, older adult, or another person requiring representation, the person entering information must be the individual, a legal representative, or someone with appropriate authorization.

If you believe someone submitted your information to CareChord without authorization, contact us through the in-app About or support entry.

10. International Processing

If service infrastructure or providers process information outside your country or region, we take measures required by applicable law, such as security assessments and data protection agreements, and provide notice or obtain consent where required.

11. Changes to This Policy

We may update this policy as CareChord features, processing practices, or legal requirements change. For material changes, we will provide notice through the app, notifications, or another reasonable method where appropriate and update the date at the top of this page.

12. Contact Us

If you have questions about this policy, our handling of personal information, or a rights request, contact us through the support entry under Profile → About in the CareChord app. We will process verified requests within a reasonable period.
